This Privacy Policy explains how Luxarte Ltd ("Luxarte", "we", "us" or "our") handles personal data in connection with this website, luxarte.ltd, and our business activities. It covers the company and its trading brands, including Luxarte Studio, Vivid Colour Films and Luxarte Software.

Luxarte Ltd is the data controller in respect of personal data processed for its own business purposes, as described in this policy.

2. Information we collect

2.1 Information you give us

If you contact us by email, or use the contact form on this website to compose an email to us, we receive the information you choose to include — typically your name, email address, company name and the content of your message.

2.2 Information collected automatically

This website does not use tracking cookies, advertising cookies or third-party analytics. Our hosting provider may keep standard server logs (such as IP address, requested page, timestamp and browser user agent) for security and operational purposes. These logs are retained only for as long as needed for those purposes.

2.3 Client and engagement data

When you engage us, we process the information needed to deliver and administer that engagement — contact details, contractual correspondence, event details such as dates and venues, and billing information.

2.4 Audio-visual material

Our film production activities necessarily involve recording images and audio of individuals. Where we film on behalf of a client, the arrangements for that material — including consent, usage rights and retention — are set out in the production agreement with that client. Where we are the commissioned supplier of a private commission such as a wedding, we hold the resulting footage in order to produce and deliver the films, and retain master files in our archive so clients can request further copies. 2.5 Client project data in software engagements

Where we develop or maintain software for a client, we may process personal data held in that client's systems. In those cases we act as a data processor on the client's instructions, and processing is governed by the written agreement between us rather than by this policy.

2.6 Our own applications

Our products, including StageDeck and SetDeck, have their own privacy notices which are made available within the applications and their respective store listings. Those notices govern data processed through those applications.

3. How we use personal data

5. Sharing your information

We do not sell, rent or trade personal data. We may share it only with:

• Service providers who support our operations, such as email, hosting, cloud storage and accounting providers, bound by confidentiality and data protection obligations
• Crew, editors and specialist collaborators engaged on a specific production, to the extent needed to deliver it
• Professional advisers such as accountants, auditors and lawyers where necessary
• Public authorities where we are legally required to do so

6. International transfers

Some of our service providers may process data outside the European Economic Area. Where that happens, we take reasonable steps to ensure an appropriate level of protection, such as relying on adequacy decisions or standard contractual clauses approved by the European Commission.

7. Retention

We keep personal data only for as long as necessary for the purpose it was collected. Enquiry correspondence is generally retained for up to twenty-four months unless it becomes part of a client relationship. Delivered audio-visual work and its master files are retained in our archive so that clients can request further copies, unless deletion is requested. Records required for tax and statutory purposes are retained for the period required by Cypriot law.

8. Security

We apply appropriate technical and organisational measures to protect personal data against unauthorised access, loss, alteration or disclosure, including access controls, encryption in transit and limiting access on a need-to-know basis. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

9. Your rights

Subject to applicable law, you have the right to:

• Request access to the personal data we hold about you
• Request correction of inaccurate or incomplete data
• Request erasure of your data where there is no continuing lawful basis to keep it
• Request restriction of, or object to, certain processing
• Request a portable copy of data you provided to us
• Withdraw consent where processing is based on consent

Our website is directed at adults and businesses, and we do not knowingly collect personal data from children through it. Where children appear in commissioned film work, that material is handled under the arrangements agreed with the commissioning client or the parent or guardian.
